Store, organise, and reuse your images and videos across all your social media posts.

What is the Media Library?

The Media Library is a centralised storage area where you can upload images and videos for use in your social media posts. Instead of uploading the same file repeatedly, you upload it once and reuse it across as many posts as you like.

The Media Library is specific to a workspace. Media files uploaded to one workspace are not accessible from other workspaces.

Accessing the Media Library

Who can use this: Owner, Admin, Member. Plan requirement: All plans.

  • Web app: Click Media in the left sidebar, or navigate to/media.
  • Mobile app: Tap More in the bottom navigation, then select Media Library.

Media Library — all uploaded images and videos

Uploading files

Who can use this: Owner, Admin, Member. Plan requirement: All plans (within storage limit).

  1. Open the Media Library.
  2. Click Upload or drag and drop files directly onto the page. On mobile, tap Upload and choose Camera or Gallery.
  3. Select one or more files to upload. You can upload multiple files in a single batch.
  4. An upload progress indicator appears showing the upload status for each file.
  5. Once uploaded, the file appears in your library and is immediately available for use in posts.
Supported file formats: Common image formats including JPG, PNG, GIF, and WebP; and video format MP4. Files that do not match a supported format will be rejected at upload.

Storage is per workspace. Your current usage and remaining capacity are shown in the Media Library header.

Storage usage warnings

247BrandHQ sends you warnings as you approach your storage limit:

70% full

An in-app notification alerts you that your storage is approaching capacity. No action is required, but it is a good time to delete unused files.

85% full

A warning banner appears in the Media Library. An email notification is sent to the workspace owner.

95% full

A prominent warning is shown throughout the app. A second email notification is sent urging you to delete files or upgrade your plan.

100% — storage full

All uploads are blocked. You cannot upload any new files until you delete existing files or upgrade your plan to a higher storage tier.

Organising files with folders

You can create folders to keep your media organised by campaign, platform, date, or any other system that works for you.

Creating a folder

  1. In the Media Library, click New folder.
  2. Enter a name for the folder and click Create.
  3. The folder appears in the sidebar of the Media Library.

Moving files to a folder

  1. Select one or more files by clicking their checkboxes.
  2. Click Move in the toolbar that appears.
  3. Select the destination folder and click Move here.

Tagging and file metadata

Adding tags and metadata to files makes them easier to find when you are creating posts.

  1. Click a file in the Media Library to open its detail panel.
  2. In the detail panel, you can:
    • Add a title or description to the file.
    • Add tags (comma-separated labels) for quick filtering.
    • View the file's technical details (dimensions, file size, upload date).
  3. Click Save to apply the changes.

Using media from the library in a post

You can attach Media Library files directly to a post without re-uploading them.

  1. Open the Composer.
  2. In the media area, click Media Library.
  3. Browse your library or search by file name or tag.
  4. Select the file(s) you want to attach.
  5. Click Insert. The files are added to the Composer's media area.

Deleting files

Deleting a file from the Media Library moves it to the trash first. Files in the trash are retained for 30 days before being permanently deleted. You can restore a trashed file within this window.

  1. Select the file(s) you want to delete using the checkboxes.
  2. Click Delete in the toolbar or three-dot menu.
  3. Confirm the deletion in the dialog that appears.
  4. The file moves to Trash. Click Trash in the sidebar to view it.

Restoring from trash

  1. Navigate to Media Library → Trash.
  2. Find the file you want to restore.
  3. Click Restore on the file card.
Files permanently deleted from the trash cannot be recovered. Permanently deleting files from an expired subscription (see the billing guide) happens automatically and is also irreversible.

What happens to media when a subscription expires

If your paid subscription expires and you do not renew within 7 days:

  • Your uploaded media files are permanently deleted on day 7 after expiry.
  • Your account and workspace settings are preserved.
  • You continue to have access to the Free plan features.
